Where we formally accept an engagement, the professional services provided will be governed by the applicable engagement documentation and agreed terms.

8. Fees

Our fees are calculated having regard to the time spent on your affairs, the level of professional skill and responsibility involved, the complexity and urgency of the work, and the importance and value of the services provided.

Where reasonably practicable, we will agree the basis of our fees before commencing an assignment. Fees quoted are exclusive of VAT, disbursements and third-party costs unless expressly stated otherwise.

Where work becomes more complex, urgent or extensive than originally anticipated, or where additional services are requested, additional fees may apply.

Examples of additional work may include:

  • HMRC enquiries, investigations or compliance checks;
  • historic accounting or tax corrections;
  • reconstruction of incomplete records;
  • additional bookkeeping;
  • Companies House matters;
  • complex tax advisory work;
  • voluntary disclosures;
  • appeals and disputes with HMRC; and
  • work falling outside the originally agreed scope.

Third-party professional fees, including solicitors, barristers, insolvency practitioners, valuers and specialist consultants, are not included in our fees unless expressly agreed.

Our fees may be invoiced at appropriate stages as work progresses. Unless otherwise agreed, invoices are payable within the period stated on the invoice or applicable service agreement.

For recurring services, we may require payment by Direct Debit, standing order or another recurring payment method.

We reserve the right to charge interest on overdue amounts where legally permitted, including under the Late Payment of Commercial Debts (Interest) Act 1998 where applicable.

Where an undisputed invoice remains materially overdue, we may suspend or terminate services, subject to our professional obligations.

If you dispute an invoice, you should notify us in writing within twenty working days of the invoice date. Any undisputed amount remains payable in accordance with the agreed payment terms.

Where we provide an estimate, it is based upon the information available at the time and is not binding unless expressly confirmed as a fixed fee in writing.

Fixed fees apply only to the agreed scope of work. Additional or unforeseen work may be separately chargeable.

Ongoing fees may be reviewed periodically to reflect changes in scope, complexity, staffing, regulatory requirements, software costs and operating costs.

Where requested, we may provide our standard hourly charging rates. Work requested outside normal office hours or requiring significant urgency may be charged at an enhanced rate.

Time-based charges may include time spent preparing accounts or tax returns, reviewing records, drafting correspondence, attending meetings, communicating with you or third parties, and dealing with HMRC, Companies House or other authorities.

If our engagement ends, you remain responsible for all fees and expenses relating to work undertaken up to the termination date.

Any work outside the agreed scope will be separately chargeable and a quotation or estimate can be provided upon request.

9. Quotations and Prices

Prices, fees or promotional offers displayed on the Website are provided for general information unless expressly stated otherwise.

The final fee for professional services may depend upon:

  • complexity;
  • volume and quality of records;
  • urgency;
  • the client's circumstances;
  • advisory requirements; and
  • the scope of services requested.

Website pricing and promotional offers may be amended or withdrawn from time to time.

10. Dealing with HMRC and Other Authorities

Where we have been properly authorised to act as your agent, Moneywize may communicate with HM Revenue & Customs (HMRC), Companies House and other relevant government departments or authorities on your behalf within the scope of the services agreed with you.

Our authority to act does not remove your own legal responsibilities as a taxpayer, company director, employer or business owner.

You remain responsible for:

  • providing complete, accurate and timely information;
  • reviewing and approving tax returns, accounts, claims and other submissions where required;
  • informing us promptly of correspondence received directly from HMRC or another authority;
  • notifying us of changes in your circumstances which may affect your tax position;
  • responding promptly to requests for information;
  • paying tax, National Insurance, VAT, PAYE, Corporation Tax and other liabilities by the applicable deadlines; and
  • complying with your statutory obligations.

We will prepare submissions and correspondence using the information made available to us. We are entitled to rely upon information supplied by you unless there is reason to believe it may be incorrect or incomplete.

We cannot guarantee that HMRC or another authority will accept a return, claim, tax treatment, repayment request, appeal or other submission. HMRC and other authorities may request further information, amend a tax calculation, challenge a position, delay processing, open an enquiry or investigation, or reach a different interpretation of the applicable legislation.

We are not responsible for delays caused by HMRC, Companies House or another government authority which are outside our reasonable control.

Where HMRC opens an enquiry, compliance check or investigation, or where substantial additional correspondence, calculations, appeals, disclosures or representations become necessary, this work will not automatically form part of your normal accounting or tax return service unless expressly included within the agreed scope.

Such additional work may be separately chargeable, and where appropriate we will discuss the scope and fees with you before undertaking substantial additional work.

Where we become aware of an error or omission in information previously submitted to HMRC or another authority, we will discuss with you the appropriate action required. We will not knowingly submit or continue to support information which we believe to be false, inaccurate or misleading.

11. Online Accounts and Client Portals

Certain areas of our Website or connected services may require registration or access to a secure client portal.

You are responsible for:

  • providing accurate information;
  • keeping login details secure;
  • preventing unauthorised access; and
  • notifying us promptly if you suspect a security breach.

You must not knowingly allow unauthorised persons to use your account.
